Office Management

This role acts as office manager to local Target team.  In addition, it will support the Director and team by coordinating events and expanding analytical responsibilities. 

Key Duties
 

  • Manage daily operations of the Coty Target office including: ordering supplies, kitchen needs, handle all building issues with property management and 3rd parties, monitor cleaning crew and assist with any AV/IT issues, troubleshoot and resolve any office equipment issues.
  • Manage Target team office invoices, including creating POs, bill paying and tracking of invoices. Assist team members with submitting all trade fund invoices.
  • IT responsibilities – back-up computer bi-weekly and act as “go-to” contact for Coty IT needs. Work with IT and act as team IT expert.
  • Assist Sales Director Team Lead with administrative duties.
  • Act as POL and Atlas Administrator.
  • Recap Team, Internal and Target Meetings
  • Plan and execute team events
  • Expanded responsibilities with team analytics (JBP, Ecommerce and Salesplan recaps)
  • Assist new hires with onboarding.


 

DSO – Deduction Management

This role will work directly with NAMS and Finance to validate claims/co-ops and clear against deductions.
 

  • Pull aging/deduction report from Infotracs.
  • Extract back-up documentation from Target for each claim. If documentation not available, request the appropriate back-up documentation from Target.
  • Work with NAMS to validate claims and obtain contract # to clear Post Audit Claim/Co-Op.
  • In Infotracs, clear the Post Audit Claim/Co-Op against Deductions. Attach all excel/pdf files for the deduction.
  • Send for approval to the Finance team to clear deductions.
  • Document and file post audits/co-ops on excel tracker sheet as well as documentation saved in “Cleared Contracts and Invoices folder and use appropriate sub folder (Audit Claims, Co-ops and Disputes).
  • Manage disputed claims – submit paperwork and track progress.
  • On a weekly basis, update NAMS on deductions aging and cleared claims/Co-Ops.
  • Bi-weekly, provide account updates for the Beauty Conference call with Finance.


 

E-Commerce And Item Set Up/maintenance
 

  • Responsible for new item set up, maintenance and content management.
  • Validate new item launches for Target transition, revisions and sales plan cycles.
  • Perform bi-annual Digital competitive line reviews.
  • Manage Coty Library of creative assets.
  • Monitor and manage review seeding for key item launches.
  • Manage Weekly Sales reporting


 

Manage Customer Calendar
 

  • Email NAMS and Director weekly for any changes to be made to the Customer Calendar in the New York shared drive.
  • Update the Coty Customer Calendar for the Target Team on a weekly basis to maintain current upcoming meetings with Target.
     

Job Requirements

Education: 4 year College Degree preferred.

Experience: 5-7 years of field sales or buyer experience; retail sales, account management, broker management or distributor management experience preferred; proficient computer skills including Microsoft Excel, Nielsen, POS and Third Party Systems.
