The Executive Assistant completes a broad variety of administrative tasks for the Executive including; managing active calendars; expense reports; handling confidential material; arranging travel itineraries, project management, leading agendas for staff meetings; identifying action items, managing scheduling conflicts, and serving as the right hand to the executives for all business needs.




In this role you will be responsible for:

  • Performing a wide variety of on-going and special administrative assignments in areas such as office administration, budgets, and other sensitive assignments, including processing and completing all related forms and reports. Works on special projects as required.
  • Works closely and effectively with the Executive to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer," having a sense for the issues taking place in the environment and keeping the Executive updated.
  • Researches, prioritizes, and follows up on incoming issues and concerns, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response and gets critical issues in front of the Executive.
  • Project manages the office including, team vacation/personal day calendars, deliveries, (both domestic & international), coordination of team meetings, logistics (A/V, room scheduling, etc.), own team agenda setting, note taking, actions required and key follow ups, billing, processing visitor passes and managing distribution lists.
  • Provides "gatekeeper" and "gateway" role, creating win-win situations for direct access to the Executive.
  • Proactively manages Executive’s calendars including meeting confirmation, identifying conflicts and provides meeting materials in advance.
  • Assists with creation/modification of presentations, spreadsheets, and other various documents.
  • Must be word, excel and powerpoint proficient to create the necessary itineraries, agendas, summary reports, data roll ups and PPT presentation needs.
  • Owns execution of assigned business projects and provides support for a variety of initiatives across the enterprise, prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
  • Summarizes items for manager’s attention, highlighting important details and gathering relevant files and background material to be included with incoming material.
  • Compile and consolidate Excel data and prepare reports for consideration and presentation by managers.
  • Work well with key partner groups to understand priorities and schedule meetings accordingly.
  • Prepare Expense reports
  • Serve as Brand Ambassador




We’d love to see candidates who have:



  • 5+ years’ experience supporting C-Level Executives.
  • Excellent organizational skills with attention to detail.
  • The ability to handle and prioritize numerous job responsibilities (multi-tasking).
  • Thorough knowledge of O365, Outlook, MS Excel, Word and PowerPoint.
  • Positive and proactive demeanor and interpersonal/people skills. Works as a team player with other EA’s.
  • Anticipates managers’ needs and looks for ways to add valuable support without being asked.



  • Experience in global organization to understand cultural aspects of organization.
  • Upbeat, positive attitude.
  • Prior public company experience preferred.
  • Prior Beauty, Fashion, Consumer experience preferred.
