Transport Claims Specialist

Within The Global Logistics team provides the center of expertise for Coty’s global transport and distribution network. It sets the strategy, frameworks, guidelines and provides functional expertise in network design across the global supply community and with the logistics community in the regions. It has the responsibility to identify and manage projects that deliver added value to the business in terms of Cost, Performance, Quality, Service, Compliance and Sustainability.

The team is ensuring the best service at an optimal cost for all global Air, Ocean, Road Transport and Warehousing operations together with external logistics service providers. Furthermore, it is controlling the global freight budget and providing governance over the Control Tower Operations.

 

Role

 

In this role as Transport Claims Specialist, you will be responsible for Transport Claims coordination, from claim creation to collection, for both Global Transport and Europe Regional scope.

 

You will function as key contact for all parties involved and coordinate the management and resolution of transport-related claims (loss, damage & thefts). The role ensures proper documentation, investigation, and follow-up of incidents with carriers, insurers, and internal teams to safeguard company assets and recover costs. Next to this, the role will support the Freight Audit & Payment team.

 

This is a very dynamic and interactive role where you will collaborate and orchestrate the activities of a range of internal and external stakeholders to achieve the result. You will be working very closely with the Global Transport Operations team, regional teams for domestic transport, the Control Tower, Security and Legal teams, Finance and externally with our carriers and our insurance company.

 

Claims Processing & Management:

 

  • Digitally register incoming transport claims in the company’s claims management system.
  • Review delivery documents, damage reports, and transport documentation to validate claims.
  • Ensure claims are submitted to carriers, freight forwarders, or insurers within agreed timeframes.
  • Monitor and follow up on claim status, escalations, and resolutions.

Investigation & Documentation:

 

  • Support root cause analysis of damages or losses in coordination with logistics, warehouse, and transport partners.
  • Collect and organize necessary supporting documentation (e.g., photos, POD’s, packing lists, invoices).
  • Maintain an up-to-date archive of claims and related correspondence.

Communication & Coordination:

 

  • Act as a liaison between internal departments (e.g., Customer Service, Finance, Logistics) and external stakeholders (e.g., carriers, insurers).
  • Provide updates to stakeholders on claim progress and resolutions.
  • Generate monthly reporting on claims performance and trends.
  • Escalation management in case of claims insurance recovery issues.

Process Improvement:

 

  • Identify recurring issues and suggest improvements to reduce claim incidence and optimize its recovery.
  • Develop operating best practices and assure re-application, consistency and standardization across sites and regions.

  • Ensure compliance with the Coty Code of Conduct and Coty Global Policies and Procedures, carrier contracts, and international transport regulations.

Essential:

 

  • Bachelor’s degree in Logistics, Supply Chain Management, Business Administration, or a related field.
  • 1–3 years of experience in logistics operations, customer service, transport claims, or a related administrative role.
  • Good organizational skills and attention to detail.
  • Proficient in MS Office (Excel, Outlook, Word).
  • Strong communication skills, both written and verbal, in English.
  • Strong analytical and process skills, ability to deliver comprehensive reports.

Desirable:

 

  • Experience working in a multinational or fast-paced logistics environment.
  • Basic understanding of international transport modes (road, sea, air), Incoterms, and shipping documentation.
  • Familiarity with ERP or transport management systems (e.g., SAP, TMS platforms).
  • Additional language skills (e.g. Spanish) are a plus.
