HR Operations Intern

HR Operations Intern -Iberia- 

We are looking for an HR Operations Specialist to join our Iberia HR Operations team.  In this role, you will learn about how multinational HR Operations department works. You will expand your knowledge of HR and will be able to participate in a transformation journey. 

RESPONSIBILITIES

 

As our HR Operations Intern, you will support the team in delivering a best-in-class employee experience and full compliance across the employee lifecycle (hiring, data changes and terminations). You will gain practical exposure to HR administration, employee onboarding, HR systems, HR processes, reporting and continuous improvement, working closely with HR Operations Specialists, Payroll, HR Business Partners and external providers. The role mainly supports Spain and may also provide assistance with Portugal. 

 

Your main focus: 

 

Personnel Administration

  • Support the preparation and review of documentation for new hires, contract extensions, employee data changes and terminations. 

  • Help maintain accurate employee data and documentation in HR systems and internal trackers. 

  • Assist with the filing, organization and quality control of employment documentation, following confidentiality and compliance requirements. 

  • Support the team with administrative follow-up related to sick leave, absences, permits and other employee lifecycle processes. 

  • Learn to manage the official platforms SILTRA (Social Security communications), SEPE (contracts, leaves, terminations) and Delt@/CAT365 (workplace accidents). 



Labor Relations

  • Learn about leaves (maternity, paternity, pregnancy, permits and licenses).

  • Learn about severance calculations and exit documentation.

  • Learn about calendars, holidays and working hours; prepare letters about changes in conditions (e.g., BA schedules).

  • Prepare letters, certificates and documentation requested by employees (e.g., for schools).



Employee Onboarding & Support

  • Contact new joiners to request and follow up on the documentation required for onboarding. 

  • Onboarding employees: contract, Tax Model 145, Tax Regime, Time & Attendance, Flexible Compensation, medical insurance and other benefits enrollment. 

  • Inform and support employees on benefits, T&A and leaves. 

  • Contact with HR providers, solve issues escalating when necessary, improve processes and the quality of the service.  

  • Possibly manage Purchase Orders in SAP, providers transfers and invoices.

 

Data Quality & Continuous Improvement

  • Perform data checks and help identify missing, inconsistent or outdated information. 

  • Support the monitoring of HR requests and follow-up actions to help ensure timely service delivery. 

  • Prepare and update recurring HR reports, trackers and presentations using Excel and Microsoft Office. 

  • Participate in process improvement, digitalization and HR transformation initiatives. 

 

 

YOU ARE A COTY FIT

 

You are curious, organized, service-oriented and eager to learn. You enjoy working as part of a team, pay attention to detail and are motivated by an international and fast-paced environment. 

 

  • Currently studying a university degree or master’s programme in Human Resources or Labour Relations.

  • Able to enter into an internship agreement with a university or business school. 

  • Interest in HR Operations, personnel administration, labour relations and employee services. 

  • Fluency in Spanish and a good level of English, both written and spoken. 

  • Good knowledge of Microsoft Office, especially Excel; interest in learning HR systems and digital tools. 

  • Accurate, discreet and responsible when handling confidential employee information. 

  • Strong organizational and communication skills, with the ability to prioritize tasks and meet deadlines. 

  • Proactive, collaborative and comfortable asking questions and learning from feedback.
