THE ROLE

We’re looking for a highly capable HRIS & Payroll Specialist to join our HR Team.  This role will be instrumental in establishing Wella’s payroll function and thereafter supporting ongoing operations. You will report to the HR Director, and will have a unique chance to build up process from day 1, ensuring full ownership of the function.  Getting paid accurately is pretty important to us, so we are eager to find a true payroll expert.

 

KEY RESPONSIBILITIES

  • Working with outsourced payroll partner, ensuring timely submission of all monthly schedules and payroll cycle, working with finance to ensure timely monthly payment cycle.
  • Data processing  and document management from HR for all payroll input – starters, leavers, changes onto the HR Systems.
  • Statutory communications to governmental authorities for the whole payroll cycle.
  • Supports in personnel administration activities, including drafting contracts and letters, collecting and archiving documents, updating internal files and tools
  • Benefits management, processing, payments and reporting – Pension, medical, insurances.
  • Raise purchase order for payroll related suppliers.
  • Management of HR Inbox, query management and responding to relevant queries.
  • Processing of leaves types, running calculations, capture onto HR and payroll system.
  • Liaison with Fleet management, effecting ongoing changes to employee vehicle benefits.
  • Effects annual holiday cycle onto HR System and Payroll.
  • Processing bonus and commission payments, conducts checks and ensures correct processing.
  • Assist in the processing of annual salary increases / bonuses / payments
  • Ensure that payroll processes are updated in a timely manner ensuring that they comply with Internal Audit compliance standards.
  • Act as an expert for all employee queries relating to payroll, pensions, and employee benefit schemes.
  • Liaise with Finance to complete monthly payroll reconciliations and ensure that GL codes are updated where necessary.
  • Answering requests from employees and business units in relation to payroll and resolve payroll discrepancies by collecting and analyzing information
  • Team member of the Corporate project to develop, test and implement the new HR systems with go-live within 1 year.

 

SKILLS, EXPERIENCE & QUALIFICATIONS

Essential:

  • Relevant tertiary qualification (university degree in HR or another relevant specialism)
  • Proficient in Excel (exp pivot tables), PowerPoint & Word
  • 2-3 years experience in a similar role, working on Italy payroll is a non-negotiable.
  • Takes a high degree of ownership, aims for high standards of accuracy, but readily communicates and drives solutions when things to do wrong.  
  • Supportive, willing to help and communicates openly with the business.
  • Highly organized, creates structure, manages deadlines and systematic.

Desirable:

  • Experience with Successfactors and Zucchetti highly desirable
  • Has worked in a startup of setup of a payroll team.
  • Process minded, looks for the opportunity to streamline, automate and simplify.
