The finance function delivers an effective finance support service to the business to strengthen decision-making by providing timely and accurate reporting and business information. The appropriate financial control framework facilitates improvements in control in the business, promotes the management of financial risk to the organization and meets increasingly onerous statutory and regulatory requirements. The newly established Shared Service Centers (of which one in EMEA and one in NA) will play a key role in having an efficient and effective finance organization.

ABOUT WELLA SSC

The SSCs across EMEA, NAM & APAC are part of the Wella Group Controlling function and will be the regional Centers of Excellence for accounting, reporting and external financial compliance activities. The payment solutions tasks will be part of the SSC scope.

 

THE ROLE

We’re looking for a manager to lead the Global Payment Solutions programs, with a focus on P-Card, T&E credit card programs, by liaising with the partner banks, internal & external stakeholders, internal policy maintenance and enforcement end-user training, delinquency management, program development and updates. The finance team you will be joining plays an important role in the overall success of the organization.

 

KEY RESPONSIBILITIES

Compliance & reporting:

  • This is a global role & you will partner closely with global & regional finance & non-finance functions including AP, RTR, Internal Controls, Procurement, HR & Others.

  • The role is expected to lead one or more people, depending on the volume of work.

  • Ensure existing organisational policies are followed; be the owner of process maps and ensure SOPs (standard operating procedures) are kept updated

  • Ensuring legal requirements respect and service quality

  • Perform daily tasks and interact with people at all levels within and outside the organization

  • Build strong communication and close working relationships with the key stakeholders at the market site, corporate and external key stakeholders

  • Implement KPIs to monitor efficiency, effectiveness and quality of service

  • Supporting internal and external auditors to ensure the highest quality of operations within the team

  • Drive continuous process improvement, proactively identify opportunities, and implement initiatives leading to cost-effectiveness and process simplification.

 

P-card management:

  • Manage contract relationship with partner Bank(s)

  • Contribute to policy development for approval by senior management

  • Manage SNOW platform for global P-card requests

  • Requests cancels & maintains P-card account data.

  • Maintain users, groups and master data on the bank portal.

  • Perform reconciliations on monthly basis & resolves issues/disputes with provider

  • Ensures compliance with policies globally

  • Keeps track of non-compliance/cancel P-cards accordingly.

  • Conducts end-user training

 

T&E card(s) management:

  • T&E Policy Training Material & end-user training as part of onboarding/lever process

  • Manage SNOW platform for T&E card requests

  • Requests, cancels & maintain T&E card account data.

  • Review & File Cardholder agreement

  • Request new cards from Bank

  • Perform reconciliations on monthly basis or as required, depending on the card solution decided & resolves issues/disputes with provider

  • Leavers Process incl. T&E card cancellation

  • Initiate card cancellation for non-compliance

  • Liaises with IT/Concur Team & business.

 


QUALIFICATIONS

Essential:

  • Minimum 5 years of relevant working experience in a matrix organization (ideally BPO/SSC/GBS)

  • Extensive knowledge about payment solutions, T&E platform (minimum 3 years)

  • A Bachelor´s degree in Accounting or Finance.

  • Fluent in English, both written and spoken required

  • Self-motivated, solution-oriented, and results-driven

  • Strong analytical skills

  • Ability to prioritize and organize

  • Strong communication and presentation skills, stakeholder management at all levels

  • Ability to work across cultures with all levels of organization as well as with different functions

  • MS Office (Excel advanced), SAP (advanced)


Desirable:

  • Previous experience in a SSC

  • Cross-functional experience across RTR an asset

  • Knowledge of SAP, Concur or similar tools

  • Working knowledge of any of the following languages would be a plus: French, German, Spanish, Italian
