Within IT, the Operation and Services organization’s responsibility is to work with our internal and external partners to ensure reliable IT operations and services at the best service costs.



We are looking for an Administrative Assistant to support IT Leadership Team including C level Executive (CIO). You will complete a broad variety of administrative tasks including; managing active calendars; expense reports; handling confidential material; arranging travel itineraries, providing agendas for staff meetings and taking minutes; identifying action items and managing scheduling conflicts. You will also get involved in projects managed by your stakeholders.



  • Performs a wide variety of on-going administrative assignments in areas such as office administration, budgets, etc.
  • Project manage the office including, team vacation/personal day calendar, deliveries, coordination of team meetings, logistics, own team agenda setting, note taking, actions required and key follow ups, processing visitor passes and managing distribution lists.
  • Proactively manages IT lead teams  calendars including meeting confirmations, identifying conflicts and providing with meeting materials in advance, where applicable.
  • Assists with creation/modification of presentations, spreadsheets, and other various document maintaining high level of confidentiality
  • Organise own work schedule in order to get the tasks completed, coordinating with support services, and liaising with other Assistants
  • Compile and consolidate Excel data and prepare reports for consideration and presentation

  • Minimum of 4 years’ experience supporting at senior management level 
  • The ability to handle and prioritise numerous job responsibilities
  • Experience with travel management and travel budgets
  • Thorough knowledge of O365, Outlook, MS Excel, Word and Power Point
  • Experience working within a global organisation to understand cultural aspects
  • Excellent communication skills, both verbal and written
  • Ability to collaborate with and influence stakeholders at varied seniority level
  • Works autonomously to manage diaries, prioritize and schedule meetings accordingly and within a timely manner



  • Working knowledge of any of the following languages would be a plus: French, Spanish, Italian, Russian.
